This Privacy Policy explains how Sidekick Animal Health Limited (“Sidekick”, “we”, “us”, “our”) collects, uses, shares, retains and deletes personal data when you use the Sidekick mobile application (the “App”), the paired Sidekick handheld reader (the “Reader”), and any related websites or cloud services (together, the “Service”).
We are the controller of your personal data under the EU General Data Protection Regulation (“GDPR”) and the Irish Data Protection Act 2018.

2. Scope of this Policy
This Policy applies to personal data we collect when you:
- download, install or use the Sidekick App on Android or iOS;
- use the Sidekick handheld Reader paired with the App;
- create or use a Sidekick account;
- visit sidekickanimalhealth.com; or
- contact us for support.
This Policy is separate from our Terms & Conditions (available at sidekickanimalhealth.com/terms-conditions/).
3. Personal data we collect
3.1 Information you provide
- Account data: your name, email address, password (stored in hashed form), veterinary practice or clinic name, professional role, and, optionally, phone number.
- Test and record data: test results generated by the Reader, sample identifiers, timestamps, Reader serial number, any animal identifiers you enter (for example, horse name, microchip number, owner reference) and notes you add.
- Support correspondence: any information you give us when you contact support, including email content and attachments.
3.2 Information we collect automatically
- Device and technical data: device model, operating system and version, App version, language, time zone, IP address and mobile network information.
- Usage data: features used, actions taken in the App, dates and times of access.
- Diagnostic and crash logs: error reports and performance data to help us maintain and improve the Service.
3.3 Information we do not collect
The Sidekick App is a professional tool for equine veterinary use. We do not knowingly collect special category data about any individual person (such as health data about a human user), and we do not collect precise location data from your device unless you opt in to a feature that requires it.
4. How we use your personal data and legal bases
We process personal data for the following purposes and on the following legal bases under Article 6 of the GDPR:

5. Who we share your data with
We do not sell your personal data. We share personal data only with the following categories of recipient, and only to the extent necessary:
- Service providers acting as processors on our behalf, including cloud hosting, database and storage providers; crash and analytics providers; email-delivery providers; and customer support tooling. These providers are bound by written data-processing agreements under Article 28 GDPR.
- Engineering and product partners: Engineering Services and App development, who act as processors under contract and are not permitted to use your data for their own purposes.
- Professional advisors, such as auditors, lawyers and accountants, where necessary for legitimate business purposes.
- Regulators, law enforcement and courts, where disclosure is required by law or to protect our legal rights.
- A successor entity, in the event of a reorganisation, merger, acquisition or sale of assets, subject to equivalent protections.
6. International transfers
Personal data is primarily stored on servers located within the European Economic Area (EEA). Where we or our processors transfer personal data outside the EEA, we rely on a valid transfer mechanism under Chapter V of the GDPR, including the European Commission’s Standard Contractual Clauses, and we apply supplementary measures where necessary. 7. How long we keep your data (retention)
We only keep personal data for as long as necessary for the purposes set out in this Policy. The table below describes our standard retention periods for each category of data. Where we are required by law to keep records for longer, we isolate that data and delete it at the end of the legally required period.

When data is no longer needed for the purpose for which it was collected and is not subject to a legal retention obligation, we either securely delete it or irreversibly anonymise it so it can no longer be associated with you.
8. How you can have your data deleted
You are in control of your Sidekick data. You can delete your data at any time using any of the methods below, free of charge.
8.1 Delete individual records from within the App
- Open the Sidekick App and sign in.
- Go to My Records (or History).
- Select the record you want to remove and tap Delete.
- Confirm deletion. The record is removed from your device and from our servers immediately and from backups within 30 days.
8.2 Delete your entire account and all associated data from within the App
- Open the Sidekick App and sign in.
- Go to Settings → Account → Delete Account.
- Confirm the request. We will delete your account profile and all associated personal data within 30 days, except for any information we are legally required to retain (see section 7), which is isolated, access-restricted and deleted at the end of the required retention period.
8.3 Request deletion by email
If you are unable to delete your account in the App, email us at privacy@sidekickanimalhealth.com with the subject line “Data Deletion Request”. We may ask you to verify your identity before acting on the request, and we will confirm deletion within 30 days of receiving a valid request (extendable by up to two further months for complex requests, as permitted by GDPR).
8.4 Request deletion online
You can also submit a deletion request through our online form at sidekickanimalhealth.com/data-deletion.
Once personal data has been deleted, it cannot be recovered. If you share an account or records with colleagues in your practice, deleting shared records may affect their access; we will tell you if that applies to your request.
9. Your rights under GDPR
Subject to applicable conditions, you have the following rights in relation to your personal data:
- Access – request a copy of the personal data we hold about you.
- Rectification – ask us to correct inaccurate or incomplete data.
- Erasure (“right to be forgotten”) – ask us to delete your data (see section 8).
- Restriction – ask us to limit how we process your data.
- Objection – object to processing based on our legitimate interests.
- Portability – receive your data in a structured, machine-readable format, or ask us to transmit it to another controller.
- Withdraw consent – where we rely on consent, withdraw it at any time (without affecting prior lawful processing).
- Complain – lodge a complaint with a supervisory authority (see section 13).
To exercise any of these rights, email privacy@sidekickanimalhealth.com. We will respond within 30 days of a valid request.
10. Security
We use appropriate technical and organisational measures to protect personal data, including encryption in transit (TLS) and at rest, role-based access controls, logging and monitoring, secure software-development practices, and regular security reviews. No system is perfectly secure; if we become aware of a personal data breach that is likely to result in a risk to your rights and freedoms, we will notify the Data Protection Commission and, where required, affected users without undue delay.
11. Children’s data
The Service is intended for professional veterinary users and is not directed to children. We do not knowingly collect personal data from anyone under the age of 16. If you believe we have collected such data, please contact us and we will delete it.
12. Changes to this Policy
We may update this Privacy Policy from time to time. When we do, we will post the updated Policy at this URL, update the “Last updated” date above, and – for material changes – notify you through the App or by email before the change takes effect.
